Can you guarantee this dish is safe?” That question should never depend on who happens to be on shift, how busy the pass is, or whether a manager can find the latest allergen matrix. 1. Receive the disclosure without making assumptions

The team should confirm the allergen, the dishes being considered, and whether the guest has described the allergy as severe. Staff should not interrogate the guest or attempt to assess medical risk. The language must reflect what has actually been verified. Avoid phrases such as “you’ll be fine,” “it should be okay,” or “we always handle allergies carefully.” These statements are operationally weak because they are not specific to the dish, the kitchen conditions, or the guest’s request.

5. Communicate the decision back to the guest and kitchen

The manager, or a server briefed directly by the manager, explains the outcome to the guest. For higher-risk requests, manager-to-guest communication is preferable. It demonstrates care, reduces telephone-game errors, and gives the guest a clear opportunity to decide whether the available option meets their needs.

The chef then confirms that the pancakes are cooked on the same flat-top used for buttered items during the breakfast rush. The kitchen cannot verify that the surface is free from dairy residue.
